ARCHIVES AND RECORDS

 

The Council has a records officer and has recently appointed an archives and records committee to oversee the management of the Councils documents and artifacts.

 

A full record of all artifacts owned by the Council has been prepared and a valuation of all those in the record has been completed.

 

The archives and records are located as follows:

 

1.   Current (past 3 years) are kept in the offices of the Town Clerk.

 

2.    All other records are kept in the document and record rooms in the Town Hall.

 

The records and checked weekly and are indexed for reference.

 

 

RETENTION OF DOCUMENTS

 

The following is the current policy on retention of documents:

 

1.   All documents are retained for a minimum of 10 years.

 

2.   Receipts, invoices and general information, of no interest in retaining, are shredded after 10 years.

 

3.   Minutes, agendas, annual accounts, newspaper and publicity cuttings and all formal documents are retained for an indefinite period.

 

4.   If there is any doubt as to the retention of a document or record it is referred to the archives and records committee for a decision.

 

All documents are retained in alphabetical order or in sectional boxes clearly marked.

 

 

INFORMATION

 

The freedom of information act is fully recognised and operated by the Council.

 

Any member of the public may see any documents in the Councils possession as long as they do not relate to:

 

a) staff or employment

b) tenders or private company information

c) minutes and details of Council business which were held in private session.

 

The documents and records are available for inspection by appointment (7 days notice is normally required) so that we can ensure the information is available for when people call.
